Desktop Publishing Specialist

The Proposal Desktop Publisher is responsible for all aspects of proposal desktop publishing and production, including template design, development and maintenance; proposal page layouts; and placement of tables, charts and graphics, ensuring styles are consistently and accurately applied to proposals, forms, documents, and other materials.
Main Duties and
Responsibilities:
Prepares documents quickly and accurately by creating templates based on individual RFP or client requirements and specifications while adhering to department and corporate branding standards.
Responsible for the consistent formatting and layout of proposal documents throughout the proposal cycle.
Works in conjunction with proposal managers, analysts, coordinators, and other team members including editors and graphic designers to produce well-designed proposals and documents, applying standards and styles consistently throughout each document.
Coordinates work with other team members using Microsoft SharePoint to ensure document version control to support development and finalization of all proposals.
Ensures conformance to quality, design, content and style standards, utilizing various tools and checklists to track status.
Prepares documents for final delivery including hyperlinking and the creation of PDFs and CDs for softcopy submission.
Supports business development initiatives, which may include the following:
Conducts research to identify potential bid opportunities.
Assists with proposal section development regarding insertion of content and graphics.
Maintains database of resumes and periodically reformats and updates layout.
Develops organization charts for proposals.
Coordinates printing, production, assembly of binders and pricing volumes and ensures the timely shipping and receipt of all submissions
Performs quality review and ensures accuracy and completeness of all submissions.
Creates department reports and tracks proposal metrics.
Performs other duties as assigned.
Required Skills:
Expert proficiency in desktop publishing using Microsoft Office suite, specifically Microsoft Word, and Adobe Acrobat software
Detail-oriented with strong analytical and problem solving skills
Good interpersonal and communication skills
Possess a strong work ethic with the ability to work independently and efficiently
A team player who handles multiple projects simultaneously in a fast paced environment
Average manual dexterity in use of a PC, phone, sorting, filing and other office machines.
Required Education/
Experience:
High school diploma or GED required; specialized training in Desktop Publishing (DTP) desirable
2 years of related experience, preferably working with proposals and/or technical documents
