Responsibilities
General
Set up new vendors for the Land Department, working with accounting and insurance compliance as required.
Prepare and ensure timely execution for all Land Development Master Agreements, Professional Services Master Agreements, Authorization Agreements, Change Orders and other legal documents as required.
Maintain all contract files, both on the server as well as in hard copy, as required by company policy.
Enter and maintain all contracts in E1, ensuring at all times that the commitment in E1 matches the current land development contract amount.
Process all Applications for Payment, verifying contract amounts, obtaining the required approvals, and submitting to A/P by required monthly deadline.
Work with A/P on land vendor statements, lien releases, check hold or other vendor payment issues.
Other administrative duties as noted:
Land Development
Maintain and update all land development budgets with information provided by Land Development Managers.
Prepare spread sheets and work closely with the finance department administering budgets for the land department (accounting knowledge required).
Assist Vice President of Land Development in completing quarterly cash flow projections for all land development jobs. This includes working with LD managers to understand the scope, budget and timing of cash flow for each community.
Assist in the preparation of bid packages for all land development bids and track the receipt of required bids.
Assist Land Development Managers in the preparation of bid analysis', ensuring the analysis is supported by proper documentation as required by company policy.
Track all land development bonds/letters of credit (LOC). Request new bonds/LOCs as needed, track expiration of existing bonds/LOCs as well as possible reductions in existing bonds/LOCs. Review bond/LOC premiums and maintain bond/LOC budget in all communities.
Track reimbursements for each community, ensuring the budget reflects the current projected expected reimbursement.
Maintain subcontractor list for all projects.
Maintain and order land development plans.
Associations
Process Homeowner Association (HOA) invoices (month/quarterly dues, subsidy requests, etc.) and ensure timely payment.
Maintain HOA files in accordance with company policy.
Qualifications
Qualifications:
Education: High School Diploma, 2 or more years of college, preferred
Experience/Knowledge:
Must have at least two (2) years of experience in homebuilding, land development, real estate, lender or escrow fields.
Technical Skills:
Good computer skills with expertise in Microsoft Windows Office applications, including Outlook, Word, and Excel
Proficiency in Math
Interpersonal/Communication Skills:
Strong Oral/Written Communication Skills, proofreading skills; strong telephone skills
Excellent Interpersonal and Customer Service skills
Personal maturity and a professional demeanor; position requires the ability respond favorably and communicate effectively

Coordinate execution and recordation of HOA documents as needed.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
